Match the Prospect’s Culture

Every company has its own unique culture, and your outreach should reflect that. Take a moment to research how your prospect’s organization communicates. Some common examples are included in the table below. Adapting your style to fit the prospect’s environment shows respect and helps you stand out as someone who “gets it.”

Mirror the Prospect’s Tone

Mirroring is about picking up on the language, formality, and energy your prospect uses in their public communications.

If their email response back to you is upbeat and conversational, you might say, "Saw your team’s recent product launch—looks like a game-changer!"

For a more reserved, data-driven email, respond to them with something like "I noticed your focus on operational metrics in your latest report—our platform could help you optimize those KPIs" will feel more familiar.

Experiment with Message Variations

Don’t be afraid to experiment with different message variations. Try out different subject lines in your email outreach such as:

  • Option A: Quick question about your onboarding process
  • Option B: Idea to help your team onboard faster

Track which approaches get the best responses and refine your outreach accordingly. This willingness to adapt and test new ideas is what separates average sellers from top performers.
